Department

This section allows users to create and manage GL codes specifically designated for tracking the financial activities of internal departments within a company.

  • Add Department GL Code: This button initiates the process of creating a new GL code exclusively for an internal department, enabling you to track its financial activity distinctly.

  • Search Department GL Code: Quickly locate specific GL codes associated with internal departments using keywords or partial code fragments.

  • Export Department GL Codes: Download a comprehensive list of all GL codes related to internal departments into an Excel file for further analysis or integration with other systems.

On the right hand section the user can also identify and select specific GL codes to be assigned to each department. The user simply needs to select the appropriate code in the GL Code section, and click on the “Assign” button.

Add a GL for a department:

When adding a new department GL code, users will need to provide the following details:

  • Department Name: Enter the clear and descriptive name of the internal department.

  • Description: Provide a brief explanation of the department's function or purpose within the organization.

  • Internal ID: Assign a unique identifier to the department for internal tracking and reference.

  • Department Priority: Indicate the department's priority level as Normal, Medium, or High. This can help in prioritizing financial analysis or resource allocation.

  • Company: Select the company or entity to which this department belongs.

  • Active: By selecting this the GL code can be active or inactive.

Additional Notes:

  • Ensure the department name and internal ID are unique to avoid confusion.

  • The department priority setting can be used to customize workflows or reporting based on the relative importance of each department's financial activities.

By capturing this information, the system can generate GL codes that enable accurate tracking and analysis of financial data at the departmental level, contributing to better financial management and decision-making.
